Our take

Zoho CRM has the strongest hosted free plan here for a small team: three users forever with real CRM features and nothing to install, as long as you can live with a dense interface.

A real CRM in the browser, with a suite attached

Zoho CRM is the hosted free plan to beat in this category. Where the open source tools ask you to run a server, Zoho gives a small team a real CRM in the browser with nothing to install, and the free edition is not a stripped demo. You get leads, contacts, deals, tasks, standard reports, workflow rules, and mobile apps.

It is part of the wider Zoho suite, which is the main reason to pick it or to pass. If you already use Zoho Mail, Books, or Desk, the CRM slots in and shares data. If you do not, you are buying into an ecosystem with its own conventions and a busy interface.

The teams that fit inside Zoho's three free seats

  • Small teams of up to three people who want a proper CRM for free without a server
  • Businesses already using other Zoho apps that want everything in one place
  • Anyone who wants hosted convenience but resents HubSpot's 1,000-contact cap

Three free seats, and paid prices that move by region

As of July 2026, the free edition covers up to three users forever. It includes lead and contact management, deals, tasks, meetings and calls, standard reports, workflow rules, 5,000 API calls a day, and the mobile apps. No credit card is required.

The limits are specific and worth reading. You get up to ten custom email templates and can export email ten times, and the deeper automation, custom dashboards, and the Zia AI assistant all sit on paid tiers. The binding limit for most people is the three-user cap, which is the moment a growing team starts paying.

Ten email templates, ten exports, and the three-user limit

The interface is dense. Zoho packs a lot into every screen, and there is a real learning curve compared with HubSpot's gentler onboarding. Budget time for setup, especially if you are customising fields and pipelines.

Pricing is the one thing we cannot report cleanly. Zoho localises its prices by region and renders them in the browser, so we have left the paid figures out rather than quote a number we could not confirm at the source. Open the pricing page to see the current rate where you are.

The free plan's automation ceiling is low. Once you want scoring rules, multiple pipelines, or blueprint processes, you are on Standard or Professional, so treat the free tier as a solid starting point rather than a permanent home for a growing sales team.

Worth an afternoon of setup? For three people, yes

For a team of three or fewer that wants a hosted CRM and does not want to touch a server, Zoho CRM's free plan is the easiest recommendation here. It does more for free than HubSpot within those three seats, and it scales up if you grow. The catch is a steeper learning curve and pricing you have to check for yourself, so go in expecting to spend an afternoon learning where everything lives.

Frequently asked questions about Zoho CRM

Is Zoho CRM free?

Yes, there is a genuine free edition for up to three users, free forever with no credit card (as of July 2026). It includes leads, contacts, deals, tasks, standard reports, workflow rules, and mobile apps. You move to a paid tier when you need a fourth user or the advanced automation and analytics.

How many users does the free plan support?

Three. That is the hard cap on the free edition, so the free plan fits a founder plus one or two colleagues. A fourth person means moving everyone to a paid tier priced per user per month.

Why do you not list Zoho CRM's paid prices?

Zoho localises its pricing by region and renders the figures in the browser, so we could not confirm a stable first-party US dollar amount at the source. Rather than repeat a number we could not verify, we point you to zoho.com/crm/zohocrm-pricing.html, which shows the current price for your region.
