Three seats is the limit you meet, ten templates is the one you forget
The seat cap is the headline and it behaves exactly as advertised. Three users on the free edition, forever, and the fourth is not an add-on. Everyone moves to a paid tier priced per user per month (as of July 2026).
Two smaller ceilings do more damage than their size suggests:
- 10 custom email templates. Fine for one sales motion, tight the moment you run separate sequences for two products or two territories.
- 10 email exports. The number that stops you tidying data in a spreadsheet as a habit.

Blueprint process automation is Professional. The Zia assistant is Enterprise. The last cost is not a limit at all, it is the learning curve. Zoho packs a lot onto every screen, and setting up fields, pipelines and workflow rules is an afternoon rather than a coffee break.

Yes, within limits, and the limit is unusually easy to plan around because it is a headcount rather than a meter. Nothing expires, no card is required, and the free edition is not a stripped demo of the paid product.
A founder plus two colleagues can run a real sales process here for years: pipeline, tasks, follow-ups, standard reports and mobile access, at zero. A four-person team cannot, not for a month, not for a week. A marketing-led business that wants scoring rules and mass email cannot either, because both start at Standard.
