Koalendar gives away unlimited bookings and stops you at two calendars

Koalendar scores 61, inside our Usable band, which we define as fine for light or personal use with growth pushing you onto a paid plan. That is a fair description: nothing about this tool is trying to be comprehensive, and its whole appeal is that setup takes about five minutes.

Generosity scores well, because unlimited bookings across unlimited links is more headroom than most of this category gives away and considerably more than Calendly's free plan at one event type. What pulls the total down is feature depth measured against the category rather than against paid software generally, and on that comparison the gaps are specific: Cal.com and Zcal both include payments free and Koalendar does not, and Google Meet is the only video option on free.

The result is a free plan that is wide and shallow, which is a legitimate design rather than a failure, and the pillars below say where each side of it lands.

Free Forever means free forever, and it means a specific set of exclusions. As of July 2026:

• 2 calendar syncs, across Google, Outlook or iCloud. This is the limit that binds. Work plus personal fills it, and the third calendar you wanted to check against is the one that causes a clash.
• No payments. Stripe is a Pro feature at $6.99 per seat per month, which puts Koalendar behind Cal.com and Zcal, both of which take payments on free.
• Google Meet only. Zoom and Microsoft Teams users are paying customers by definition, which is an easy thing to miss until you have set everything else up.
• No SMS reminders, no round-robin, no group sessions.
• Koalendar branding stays on your booking page until Pro.

What free does keep is worth stating too, because it is more than the list above suggests: unlimited bookings, unlimited scheduling links, booking pages in 30+ languages, and website embeds, with no card at signup and nothing that switches off when you get busy.

One thing to know before you price an upgrade rather than after: Koalendar counts a bookable resource as a seat, so a studio with four rooms pays for four seats.

Pro is $6.99 per seat per month billed annually, or $9.99 billed monthly, and it is the cheapest first paid step in this category. What it buys is the specific list free holds back: unlimited calendar syncs, Stripe payments, custom email and SMS reminders, round-robin and collective scheduling, and branding removal. Teams is custom-priced for 10 or more seats with dedicated support and onboarding.

The seat definition is the part that changes the arithmetic. Koalendar counts a bookable resource as a seat, so a business booking four treatment rooms or four practitioners is not paying $6.99, it is paying about $28 a month. That is still cheap against Calendly Teams at $16 per seat, but it is four times the number on the pricing page and it is worth doing the sum before you plan around it.

The upgrade trigger is almost always one of two things: a third calendar, or the first time somebody needs to pay you at the point of booking. If it is the payments one, run the comparison against Cal.com's free plan first, because that is the same capability at no cost with a slower first hour as the price.

Free with limits, and the limits are narrow and easy to check against your own situation, which is the nicest thing you can say about a free plan. Nothing is metered, nothing expires, no card is asked for, and unlimited bookings means the free tier does not punish you for being busy.

Who can stay here indefinitely: a coach or consultant who books free calls, a freelancer with a work and a personal calendar and nothing else to check, a small business embedding a booking page on a simple site, and anyone who tried heavier tools and wanted the settings to stop. For all of them the free plan is complete.

Who cannot: anyone charging at the point of booking, anyone who needs a third calendar in the availability check, anyone on Zoom or Teams rather than Google Meet, and anyone who needs SMS reminders because clients forget. Each of those is $6.99 a seat.
